1. What We Collect and Why

Purchase & Contract Data

Name, email, billing details, and purchase information. Used to process payment, deliver the service, issue invoices, and meet our accounting obligations under Danish bookkeeping law. Financial records are retained for 5 years.

Session Booking Data

Name, email, and appointment details collected via Acuity Scheduling. Used solely to schedule and manage your sessions.

Birth Data

Date, time, and place of birth, collected directly from you before your session. Entered into Genetic Matrix to generate your Human Design and Gene Keys profile. Used exclusively for service delivery and shared with no other party.

Session & Communication Data

Sessions via Zoom are routinely recorded. Both you and Mattie receive a copy. Voice notes and messages exchanged via Voxer are processed as part of service delivery. By confirming your booking, you give explicit consent to being recorded. You may withdraw this consent before a session takes place.

For Frequency Leap containers, Mattie may transcribe Voxer voice notes to support session preparation. Transcripts are used solely to help Mattie show up fully informed for your sessions and for no other purpose. By purchasing a Frequency Leap container, you explicitly consent to this. Transcripts are held in confidence and permanently deleted when the container closes. If you do not wish your messages to be transcribed, notify Mattie in writing at the start of your container. Anonymised, non-attributable insights derived from transcripts may be retained for internal business development after the transcript itself has been deleted.

Email Marketing

If you subscribe via Kajabi, we collect your name and email to send newsletters and updates. You can unsubscribe at any time via the link in any email.

Website Analytics

Squarespace’s built-in analytics collects anonymised, aggregated data about how visitors use the site. No individual visitors are identified. No third-party tracking cookies are used.

Enquiries

If you contact us by email, we retain the correspondence and your contact details for as long as necessary to respond and for a reasonable period thereafter.

2. Data Retention

• Birth data: Duration of service relationship plus 12 months, then permanently deleted.

• Financial records: 5 years, as required by Danish bookkeeping law.

• Session recordings: Duration of container plus 12 months, then permanently deleted.

• Booking data: Duration of service relationship plus 12 months.

• Voxer communications: Retained within the Voxer platform per their own retention policy. Not archived separately.

• Voxer transcripts: Permanently deleted when the container closes.

• Email marketing data: Until you unsubscribe or request deletion.

• General correspondence: 2 years from the date of last communication.

When retention periods expire, data is securely deleted or anonymised.

3. Third-Party Processors

We do not sell, rent, or trade your data. It is shared only with the processors below, to the extent necessary to deliver our services.

• Genetic Matrix — Chart calculation from birth data. US-based. Privacy policy: geneticmatrix.com/privacy-policy

• Stripe — Payment processing. PCI DSS Level 1 certified. Does not share card data with us. Privacy policy: stripe.com/privacy

• Kajabi — Mentorship checkout and email marketing. US-based. Privacy policy: kajabi.com/privacy

• Acuity Scheduling (Squarespace) — Session booking. Privacy policy: squarespace.com/privacy

• Squarespace — Website hosting and analytics. US-based. Privacy policy: squarespace.com/privacy

• Zoom (Zoom Video Communications, Inc.) — Video sessions and recording. US-based. Data may be transferred internationally. Privacy policy: zoom.us/privacy

• Voxer — Voice note container. US-based. Privacy policy: voxer.com/privacy

Processors based in the United States (Genetic Matrix, Kajabi, Squarespace, Voxer, Zoom) transfer data outside the EEA under Standard Contractual Clauses approved by the European Commission.

We may disclose personal data to competent authorities where required by law.

4. Your Rights

As a data subject under GDPR, you have the right to: access your data, correct inaccuracies, request deletion, restrict or object to processing, and receive your data in a portable format. Where processing is based on consent, you may withdraw that consent at any time.

To exercise any right, contact contact@frequencybymattie.com. We will respond within 30 days and may verify your identity before acting on a request.

If you are dissatisfied with how your data is handled, you may lodge a complaint with the Danish data protection authority:

5. Cookies

This website uses essential cookies (required for the site to function) and Squarespace’s first-party analytics cookies (anonymised and aggregated). No third-party advertising or tracking cookies are used.

You can manage cookies through your browser settings. Disabling essential cookies may affect site functionality.

6. Security

We take appropriate technical and organisational measures to protect your data against unauthorised access, loss, or alteration. In the event of a data breach likely to risk your rights and freedoms, we will notify Datatilsynet within 72 hours and inform affected individuals where required.

7. Children

Our services are for adults 18 and over. We do not knowingly collect data from minors. If you believe a minor has provided data to us, please contact contact@frequencybymattie.com and we will delete it promptly.

8. Changes to This Policy

This policy may be updated from time to time. The date at the top indicates the last revision. Where changes are material, active clients will be notified by email.
